Overall Anniversary Strengths
Jazz on the Hill Team Strengths
- Recognizabe Hillside event that people enjoy.
- Performers were good.
- Having on the spot payment was good.
- Location across the street worked.
- BKSM as green room was good for privacy.
- Having it as a ticketed event didn’t seem to be prohibitive.
Jazz on the Hill Team Areas for Growth (JOTH)
- Leadership must be accountable.
- It was overbudget. As of Oct. 10, income $5,919; expenses $8,348. IF JOTH is to continue as part of anniversary events, must have a representative of the committee at each anniversary meeting so there is continual communication. Also, stay within budget.
- Should have been something formal to get sponsor information and a way of recognizing.
- Logistics was not solid. Set up needed to be in the morning. Needed better flow of the day.
- Quality of tables and chairs was not good. Also, it was expected that all tables would be round so some table cloths had to be changed that day because some tables were rectangular. Tables and chairs should have been rented far in advance.
- Set tables aside for artists of guests – if that is desired. If so, have a list of names for those who are to be seated at those tables. (Relatives of an artist came, expecting to be seated.)
- Start at 6 or 6:30pm. Too hot at the earlier time.
- Rethink the process for individual seating at tables where the total table has not been purchased.
- Rethink process for knowing who is to be seated at tables purchased. If ministry purchases, get names of people to be seated.
- Have master list of tables. Layout earlier.
- If tables are given to Audubon Estates, enforce deadline for list of attendees. Don’t have to give the front tables. (Issue: 4 tables set aside in the front but they were not filled.)
- Vet any vendors.
- Include food for volunteers in the budget. It’s a long day of preparation.
- Ensure it is known there is to be no campaigning and nothing given out that is not related to Hillside.
- Choir members did not clean up BKSM but understanding was they were handling the green room.
Jazz on the Hill Team Future Considerations (JOTH)
- Have university students perform. Possibly a contest at the university and winner(s) perform.
- Possibly have tent for performers. Though BKSM was good, it was up the hill.
- Encourage people to decorate their tables and have table judging.
Overall Anniversary Strengths
- Clear leadership from Nuri who assumed role of chairperson less than two months before anniversary.
- Dedicated and hard-working committee.
- Excellent graphic design and print materials by Nuri who had dual role of graphics and committee leadership.
- Only two activities outside Sunday service.
- Activities, as set – Founder’s Day, Awards, Jazz on the Hill, Breakthrough Conference.
- Make awardees, speakers, performers, vendors top of the business in January 2018.
- Must have more volunteers in addition to the committee.
- Have sub-committees for each event, major activity.
- Assign someone to Dr. Barbara for all aspects of events, including desired transitions during Sunday service.
- Need seed money. Can possibly raise it if there is no profit for set aside.
- There should not be a major churchwide, ticketed event close to the anniversary ticketed events, particularly if there is not a “draw” (big name, popular person) for the anniversary.
- Develop comprehensive sponsorship program, handled by Board Finance Committee. Could be a packaging of all churchwide events for the entire year.
- Reach out of universities and colleges.
- Bookend awards ceremony and Jazz on the Hill (JOTH).
- Send mailers within the ½ mile radius. Use that mailing list.
- Include wrap-up/debriefing dinner in budget.
- Put out a call for volunteers and push it.
- Reward volunteers in some way. They are expected to pay for event as support for Hillside even if they volunteer. However, they go a step beyond and often do not get a chance to take part in the event.
